Qualifications Required

Post Secondary Education in marketing, tourism or business management
Previous experience in office and administrative setting
Ability to work flexible hours; some evening and weekend work is required
Proficient in MsOffice: Outlook, Word, Excel, Power Point, and Publisher
Excellent verbal and written communication skills
Ability to work with minimal supervision and guidance in a collaborative team environment
Proven ability to manage multiple projects with tight deadlines
Ability to set priorities, organize and plan work flow from multiple managers
Proactively seek solutions to problems
Detail oriented and high personal standards for quality of work produced
Works with a high level of efficiency
Strong interpersonal skill, high energy and proactive thinker
Understanding diversity of different backgrounds and cultures

Primary Responsibilities

Administration/General
prepares expense reports and manages the sales budget for the Sales Department
produces a monthly activity report (A1)
works on special projects as requested by the DOS
provides an extraordinary guest experience
provides support to the sales department and other departments as needed

Familiarization Tours
coordinates and hosts familiarization (fam) visits for international and domestic tour operators, travel agents and VIPs on behalf of the sales team
creates the fam tour itineraries and prepares/distributes welcome packages
participates in hosting these clients in the resort as required
tracks # of guests/origin and focus (winter vs. summer) associated with the fam tours
sends hand written thank you note to all fam guests
prepares an annual overview of the sales fam tours
assists on follow-up with clients as needed

Sales Missions
Assists the Sales Managers and DOS during in-market sales missions and agent training trips
prepare all sales collateral, shipping of material (pre/post)
assists on follow-up with clients as needed

Trade and Consumer Shows
registers for the shows and maintains a show participation calendar
books all equipment and coordinates the shipping of all collateral as required
prepares marketing collateral for the shows
organizes TSP attendee travel arrangements as required

Promotions/Prizing
executes fulfillment, tracking and follow-up of select promotions/prizing
coordinates and distributes prize packages to media outlets as needed
communicates directly with prize winners in organizing their visit to the resort, including booking accommodations
prepares welcome packages the winners receive upon arrival
tracks the associated costs with the promotional prizes

Marketing/Collateral
coordinates the shipping and tracking of required materials to clients
executes the brochure racking program for the Visitors Information Centers (VIC’s) across British Columbia
updates the sales and marketing collateral as needed, including but not limited to: Travel Planners, Power Point Presentation and Travel Trade webpage
